Privacy Policy

This policy explains what personal information I collect, why I collect it, how I look after it and what your rights are. I’ve kept it as short and clear as I can.

1. Visiting this website

1.1Nexus Coaching is run by me, Joe Johnson, and I look after any information you share with me.

1.3This website doesn’t use cookies, analytics or advertising trackers, and it doesn’t ask you for any information.

1.4Like any website, a small amount of technical information is handled when you visit:

  1. Hosting. The site is hosted by Vercel, which processes your IP address and basic browser details to deliver the page and keep the site secure.
  2. Fonts. The site’s fonts are loaded from Google Fonts, so your browser connects to Google and shares your IP address with them.

1.5Links to Instagram, WhatsApp and the coaching application take you to other services, which have their own privacy policies.

2. Applying for coaching

2.1When you apply, I’ll ask for your name, email address, phone number, Instagram handle (optional), where you’re based, your goals, your training history and how ready you are to commit. The application form is hosted on 1fit, the coaching platform I use, which stores your answers on my behalf.

2.2I use this to get in touch, get to know you and decide together whether my coaching is the right fit.

3. If you become a client

3.1To coach you properly I’ll need more detailed information, including:

  1. Your contact details and payment records
  2. Body weight, measurements and progress photos
  3. Training, nutrition, sleep, steps, stress and recovery data
  4. Any injuries or health conditions that affect your training
  5. Form videos you send me, and our messages and check-ins

3.2Some of this is health information, which the law treats as extra sensitive. I only collect it with your explicit consent, and only use it to coach you.

3.3Most of this is kept in the 1fit coaching app. We may also talk on WhatsApp or by email.

3.4Payments are handled securely by Stripe. I never see or store your full card details.

3.5I take care to keep your information secure. 1fit, Stripe, Google and WhatsApp all have their own privacy policies and security measures in place to keep your information safe.

4. Testimonials and before & after photos

4.1I’ll only share your testimonial, name or before & after photos on this website or social media if you’ve given me permission. You can change your mind at any time and I’ll take them down.

5. Why I can use your information

5.1I rely on the following legal bases:

  1. Contract. To provide the coaching you’ve signed up for, or to take steps before you sign up (like reviewing your application).
  2. Consent. For your health information, and for using your testimonial or photos. You can withdraw consent at any time.
  3. Legal obligation. To keep financial records for tax purposes.
  4. Legitimate interests. To run and protect my business, such as keeping this website secure.

6. Who your information is shared with

6.1I never sell your information. I only share it with services that help me run Nexus Coaching:

  1. 1fit: coaching app and application form
  2. Stripe: payments
  3. Google Workspace: email
  4. WhatsApp (Meta): messaging, if you choose to use it
  5. Vercel: website hosting

6.2I may also share information if the law requires it.

6.3Some of these providers store data outside the UK. Where they do, they use legally recognised safeguards to protect it.

7. How long I keep it

  1. Applications that don’t lead to coaching: up to 12 months, then deleted.
  2. Client coaching information, including health data and photos: kept for 12 months after your coaching ends, then deleted, unless you ask me to delete it sooner.
  3. Financial records: 6 years, as required for tax.

8. Your rights

8.1You have the right to:

  1. Get a copy of the information I hold about you
  2. Ask me to correct anything that’s wrong
  3. Ask me to delete your information
  4. Object to, or ask me to limit, how I use it
  5. Get your information in a format you can take elsewhere
  6. Withdraw your consent at any time

8.2Just email joe@nexuscoaching.uk. I’ll respond within one month.

9. Complaints

9.1If you’re unhappy with how I’ve handled your information, please get in touch first and I’ll do my best to put it right.

9.2You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

10. Changes to this policy

10.1If I make changes, I’ll update this page and the date at the top.
